Studio concepts/AI lead operations
Pinecrest Enquiry Desk
An enquiry desk for a fictional property agency: every message is captured, qualified, tagged and handed to the right agent.
A fictional brief designed by the studio to show the work. It is not a client project and makes no claims about results.
01The brief
Enquiries arrive everywhere. Follow-up happens somewhere.
Pinecrest is an imagined lettings and sales agency. Enquiries come through the website form, email and a messaging channel. Someone sorts them by hand each morning, tags are inconsistent and urgent viewings wait behind newsletter replies. The brief: one desk where every enquiry is captured, understood and owned within minutes, without hiding the people doing the work.
02The flow
Capture, qualify, route, follow up.
Every channel lands in one queue. Rules the team can read decide intent, budget band and urgency; anything the rules can't place is flagged for a person instead of guessed. Click a step to see what happens there.
Website form, email and messaging land in one queue with the original text, time and channel kept intact.
3 channels → 1 queue
03The interface
An inbox the team can actually work from.
Select an enquiry to open its profile. Tags, status and the suggested next step are visible together, and the original message is always one glance away.
04Human handoff
Automation hands over. A person decides.
Assigning an enquiry moves it through the pipeline and writes a note for the agent. Low-confidence messages go to a review lane with the reason shown. The rules are listed in plain language so the team can change them.
- Assign an enquiry above or move one through the pipeline—the agent note appears here.
Automation rules · plain language
- WHENmessage mentions “view”, “viewing” or a dayTHENtag Viewing request · route to lettings on shift
- WHENmessage mentions “sell”, “valuation” or “worth”THENtag Valuation · route to sales · reply within 2 hours
- WHENa budget or price is writtenTHENset budget band from the number
- WHENconfidence is below 60%THENsend to Review · never auto-tag
Rule toggles are illustrative — they show how a team would switch rules, not a live engine.
05What this demo shows
What's real here, and what isn't.
The interface, states and rule logic run in your browser. There is no live inbox, messaging account, model or CRM behind it.
What's simulated
Sample enquiries and simple keyword rules running in your browser. No messaging platform, inbox, AI model or CRM is connected, and nothing is sent. A real build would connect to your actual channels through their official APIs.
Disciplines it demonstrates
- AI & Automation — Qualification and routing flow
- Lead Generation & Outreach — Lead segmentation, tags and CRM handoff
- Digital Operations & Virtual Assistance — Task queue, review lane and escalation
